Top 3 Productivity Tools for Small Business Owners

best life organization running a business Sep 28, 2023

If you're anything like me or most of my clients you struggle with keeping your business organized.

Does this sound familiar:

You keep notes in a notebook and in an app on your phone. You have paper planners and digital planners - sometimes multiples of both that you only use *sometimes.* You forget where your passwords are, your important documents, orders you need to send, or even WHEN you need to send them. Your inbox is maxed out because you've oversubscribed yourself to newsletters and now you're losing important emails in the mix. You want to grow your business but getting on top of your marketing efforts seems like an impossible mountain while you're struggling up the hill of running things day to day.

First... BREATHE.

Alright, now let's dive into my top 5 favourite productivity tools for small business owners! Also, there's a bonus at the bottom of this post, so make sure you travel your way down there ⏬

Tailwind is MORE than a social media scheduler

Honestly, I'm more impressed with Tailwind than I am with any other social media scheduler I've ever worked with. I'm a PROUD Tailwind user and tell everyone I know about it.

Here's the basics:

  • It's affordable
  • It lets you schedule Pinterest, Instagram, and Facebook posts (maybe even more). No one else seems to help with Pinterest posting.
  • You can schedule posts more than a year in advance (something that the actual apps do NOT let you do right now).
  • It's in good standing with Pinterest and Meta so you know your stuff WILL be posted.
  • It autoposts reels and posts and will text you to post your stories for you. With Meta, this only works if you have a business account because they won't allow personal or creator accounts to autopost, but you can set up text message alerts for those accounts.
  • It has an IOS app and they are building an Android app as I type this.

But it goes above and beyond with:

  • Its own email marketing management system.
  • Tailwind Communities for Pinterest which helps you share and find pins that are related to your niche topics.
  • AI caption generators and blog post writers.
  • Design creation tool (similar to Canva templates)
  • Content planning based on your goals with reminders and weekly task lists and a calendar (this is my favourite part, for sure. I use this ALL THE TIME).

Best part? There is a forever free plan you can get started on (and stay on)!!

OneNote is great for keeping ideas and more

Alright, this is an oldie but its also a goodie!

You might have used OneNote for school in the past but trust me, it has MAJOR business appeal, too.

I use OneNote as a part of a larger system that also includes a calendar app for tracking my projects, an online drive for file storage, sharing, and organization, and a social media scheduler for, well, social media (more on THAT later).

For me, OneNote is the ideal place to keep all of my thoughts, ideas, to-do lists and projects. I LOVE that I can have different "workbooks" for different clients, different "tabs" for different projects, and pages within those tabs for different steps of each project.

I have a main business hub tab in my notebook that helps me stay organized with my yearly goals, month to month tasks, weekly checklists, and is a great place to keep basic information like important links, files, etc.

OneNote can actually be used in conjunction with your Outlook email and tasks which is a great way to stay organized on all fronts.

Oh, and it's FREE πŸŽ‰

Trello keeps you on track with large projects

If you aren't a fan of Trello you will be!

Use cards and boards and calendars to track all of your big projects!

You can also use it to keep your team organized, on task, and in the know of everything that's happening in your business. The ways to use Trello are almost endless.

I love using this when I'm working with marketing clients who want to SEE what I am doing with their marketing campaigns. I also love setting up my mentoring clients with Trello boards that keep them accountable when I'm not around.

You can get started for FREE πŸŽ‰πŸŽ‰
